Getting Setup with WebEx in Canvas (Instructor)

Quick Reference Guide

WebEx is now integrated in Canvas! You can schedule all of your class meet times within your Canvas course. Please use this guide to Get Started and Schedule a Virtual Class Meeting Time.

Getting Started

  1. Log in to Canvas
  2. Navigate to your desired course
  3. Click on Settings in the course navigation

  4. Click on Navigation

  5. Scroll until you find Cisco WebEx

  6. Click the vertical three dots and click on Enable
  7. Scroll to the bottom and click the blue Save button

  8. In the course navigation click on Cisco WebEx

  9. Click on the check box Virtual Meetings and then Apply

    Note: You can also set up office hours for each course

  10. Scroll to find Authorize with LMS and click on Authorize

  11. In the new window click on Authorize

  12. You can now Schedule a Virtual Class.

Schedule a Virtual Class

  1. Log in to Canvas
  2. Navigate to your desired course
  3. In the course navigation click on Cisco WebEx

  4. Click on Virtual Meetings

  5. Click on New Meeting

  6. Give the Meeting a Name, Select the Date and Time the class takes place, and select the duration of the meeting

  7. If you do not want to set up a recurring class time skip to Step 11

    Note: It is a best practice to set up all meetings at once using Recurrence

  8. To schedule a recurring class (e.g. every Monday and Wednesday) click on the Weekly Option
  9. Click on the days the class meets (e.g. Monday and Wednesday)

  10. Select either an end date or how many sessions will be held total

    Note: When using “ After X meetings” option account for the fact there are 2 meetings a week and count the weeks until the end of the semester (i.e. 5 weeks * 2 meetings a week = 10 meetings)

  11. Click Create Meeting

  12. You are done!

Launch a Scheduled Meeting

  1. Log in to Canvas
  2. Navigate to your desired course
  3. In the course navigation click on Cisco WebEx

  4. Click on Virtual Meetings

  5. Click on Host

  6. WebEx will launch the meeting!

Setting Up Office Hours

You may want to set up virtual office hours in WebEx for your students. To set up office hours you will need to do it for each individual course.

  1. Log in to Canvas
  2. Navigate to your desired course
  3. In the course navigation click on Cisco WebEx

  4. Click on Office Hours

  5. To set how long each student session will be click on XX mins in availability

  6. Click on the amount of time you want each individual student session to be

  7. Click on the times you would like to hold office hours for your students

    Note: The time is in military time

  8. Scroll Down and click Save

View Office Hour Appointments

You will need to view your office hour appointments on WebEx’s site. Use the following guide to view your appointments

  1. Log in to Canvas
  2. Navigate to your desired course
  3. In the course navigation click on Cisco WebEx

  4. Click on Office Hours

  5. Click on View My Meetings in WebEx

  6. You will see a summary of all your meetings

  7. Click on the green Start button to begin a meeting
